Build a Complete Document Strategy with One View Vault

A few departments get organized, the wins are real, and then momentum stalls. The problem that occurs: the rest of the store keeps running on paper, and nobody questions it because the immediate problem got solved.

I get it. But I’ve also seen what happens when you leave those gaps open too long.

When documents talk to each other, your store runs better

Think about this: a customer comes into service claiming their deal included lifetime oil changes. The advisor can’t confirm it, the sales rep is long gone, and what should be a two-minute conversation turns into a dispute. If that deal jacket is scanned and indexed alongside your service records, someone pulls it up in 30 seconds and the conversation is over. That’s not a technology win. That’s a Fixed Ops Director and a Sales Manager working from the same source of truth.

The same logic applies to accounting, HR, and vendor management. When your controller needs to reconcile a warranty chargeback, they shouldn’t be chasing documents across systems or departments. When HR needs an employee file, it should take seconds. These aren’t edge cases. They happen every week.

The part most dealers don’t think about until it’s urgent

A DMS change or a buy-sell transaction will expose every gap in your document strategy faster than anything else will.

When you migrate systems, historical records trapped inside the outgoing DMS become a real liability. Let’s think back to that previous example about the life-time oil. If those documents or data only exist in the previous DMS, and you’ve transitioned from that DMS; that dispute has become real unless you can find the proof in a pile of bankers boxes.
